Adjustments
Record pay and charge adjustments against a worker or client, and approve them.
An adjustment is a one-off addition to, or deduction from, someone's pay or a client's charges — a bonus, a penalty, a correction, an agreed extra. Each adjustment is raised against a party (a worker or a client) and carries a reference number.
Open Adjustments from the sidebar (under the Finance group). The module has three tabs:
- Adjustments — the full ledger, with the overview strip.
- Approvals — adjustments waiting for a decision (with a count badge).
- Categories — the categories your agency offers.

The overview strip
Above the ledger is an Overview panel with a period selector (This month, Last month, This quarter, Year to date):
- Pending approval — how many adjustments await a decision, with a Review → link when there's a backlog.
- Net additions — the total added to pay or charges in the period.
- Net deductions — the total deducted.
The ledger
Each row is one adjustment. The columns include:
| Column | What it shows |
|---|---|
| Reference | The adjustment's reference number. |
| Date | The date of the adjustment. |
| Party | The worker or client it's for. |
| Category | The adjustment category. |
| Amount | The value — +£ in green for an addition, −£ in red for a deduction. |
| Approval | Draft, Pending, Approved, or Rejected. |
| Payment status | Awaiting approval, Ready, Processing, or Paid. |
| Picked by run | Whether it's been pulled into a pay/invoice run. |
Search and filter as on any list, and raise one with New adjustment.
Raising an adjustment
Click New adjustment and fill in the form:
- Party type — Employee, Sub-contractor, or Client — then pick the party.
- Category — the picker is constrained to categories that apply to that party type.
- Calc mode — how the amount is worked out:
- Fixed — you type the amount directly.
- Hours-based — enter Hours and a Rate and the amount is calculated for you (hours × rate). If you override the calculated figure you must give an override reason.
- Direction — Addition or Deduction.
- Optionally link a Timesheet, set the Date, and add Notes.
The approval flow
Adjustments move through a review before they can be paid or charged. Open one from the ledger (or the Approvals tab) and use the footer actions:
- Submit for approval — on a Draft or Rejected adjustment, sends it into the approval queue.
- Approve / Reject — on a Pending adjustment. Rejecting asks for a reason for rejection, which is kept on the record and shown back to whoever resubmits.
- Once Approved, an adjustment is read-only — there are no further actions; the status badge tells the whole story.
The Approvals tab is the ledger scoped to Pending adjustments and carries a count badge on the tab while any are waiting. Deciding a row drops it out of the queue.

Categories
The Categories tab is your agency's catalogue of adjustment categories. Each category carries defaults — a default calc mode and direction, whether it's visible in the mobile app, and which party types it applies to (Employees, Sub-contractors, Clients).
- New category — create one (it must apply to at least one party type).
- Click a category to edit it, toggle Mobile visibility, or set it Active / Inactive.
- A category shows whether it's In use by existing adjustments.
