Invoicing

Raise and send client invoices, run billing in bulk, record payments, and track what's owed.

The Invoicing module is where you bill your clients — from a single invoice to a whole billing run, through to payments and credit notes. Open it from the sidebar (under the Finance group). It's organised into tabs:

  • Invoice run — build a batch of invoices from a period's work.
  • Invoices — every client invoice.
  • Credit notes — credits raised against invoices.
  • Payments — payments recorded against invoices.
  • Aged debtors — outstanding balances by client and age.

Invoices

The Invoices tab lists every invoice with its Invoice #, client, issue and due dates, Total, Outstanding amount, and Status. A stat strip above the list summarises the headline figures.

Invoices move through these statuses:

Part-paidSome payment received.
PaidSettled in full.
CreditedOffset by a credit note.
VoidedCancelled.

Click New invoice to draft one by hand, or click a row to open the invoice's detail panel — client and billing details, line items, totals, payments received and any credit notes. The footer actions depend on the status:

  • Any status — Download PDF, and Email to client once the invoice is client-facing.
  • Draft — Approve or Delete.
  • Approved — Send or Void.
  • Sent / Part-paid — Record payment, Raise credit note, or Void (only while no payments are recorded).

Void and Raise credit note ask for a reason for the audit trail.

Invoice run

An invoice run bills many clients at once from a period's work. Start one with the create-run dialog, then work through the wizard stages:

  1. Scope — the period and which clients are in scope.
  2. Timesheets, Expenses, Adjustments — the billable items pulled in.
  3. Validate — checks before you commit.
  4. Review — the invoices the run will produce.

A run is Draft while you build it, goes to Awaiting approval, and becomes Committed once approved (or Cancelled). Committing a run generates the invoices, which then appear on the Invoices tab.

Payments, credit notes and aged debtors

  • Payments lists every payment recorded against your invoices. Record a payment from an invoice's detail panel (Record payment).
  • Credit notes lists credits raised against invoices.
  • Aged debtors shows outstanding balances grouped by client and how overdue they are — click through to that client's invoices.

Defaults

Set your invoicing defaults — payment terms, VAT and line descriptions — in Settings → Invoicing, so every new invoice and run starts from your house rules.
