Clients

Manage your clients — the list, import and export, and each client's details and parking.

A client is an organisation you place staff with. Open Clients from the sidebar (under the Clients group) to see the list.

The Clients list

By default the table shows Name, Invoice Email, Phone, Address, Terms, Status, and Created On. Click a client's Name to open their detail page.

Choosing your columns

Click the Columns button on the right of the toolbar to open the Toggle columns menu. Tick or untick columns to build the view you need — extra columns include Location, Owner, Booking Email, Mobile, Website, Company Number, VAT Number, UTR, Primary, and Modified On. The menu stays open while you toggle several at once. Name is always shown and can't be hidden.

Your column choice is per visit — it resets to the default set when you reload or come back to the page.

Filtering

Besides the Filter by keyword box, every column header opens a Filter by … popover with an operator and a value. Text columns offer Equals / Contains / Begins with / Ends with (and their negatives); dates offer On / On or after / This month / Last week and similar; numbers offer comparisons. Every type also has Is blank and Is not blank — ideal for finding clients with a missing email or VAT number.

Exporting clients to CSV

Click Export CSV in the command bar. The export covers every matching row across all pages — respecting your keyword search, column filters, and sort — and includes all columns, whether or not they're currently visible. A toast confirms how many rows were exported.

Importing clients from a spreadsheet

Click Import in the command bar to open the Import clients dialog:

  1. Start from the template (recommended) — click Template to download clients-template.csv with the expected column headers. Required columns are marked with *; only Practice / Company Name is required, so a sparse file still imports.
  2. Upload your file — CSV or Excel (.xlsx/.xls), with headers in the first row. Column headers are matched automatically (capitalisation and spacing don't matter), so lightly renamed spreadsheets still line up.
  3. Review the check — rows are validated up front and summarised as will import, skipped (duplicates), and errors, with a per-row reason for anything that won't import. Problem rows are skipped so the rest still import.
  4. Import — click Import N clients to commit. A toast confirms the result.

Imports are limited to 2,000 rows per file — split larger files.

A client's detail page

Click a client's name to open their page. It has six tabs: Overview · Users · Bookings · Parking · Staff Preference · Transactions.

  • Overview — the client's contact, address, and billing details.
  • Users — the client's portal users.
  • Bookings — bookings for this client.
  • Parking — the client's parking locations (below).
  • Staff Preference — the workers this client prefers, or won't accept.
  • Transactions — the client's money, under four sub-tabs: Invoices, Credit notes, Payments received and Statement.

The Overview is laid out in two columns: a wide form column holding the client's details two fields to a row, and a narrower right-hand rail with the activity Timeline, Status, Contract and Record. Fields you can edit show as inputs; the rest are plain text.

Parking locations

The Parking tab lists the client's parking locations — so the people you place know where to park on site. Each location has a Name (required), and optional Address, Notes, and Latitude/Longitude coordinates.

  • Add one with Create New Parking in the command bar.
  • Edit by clicking a row — a side panel opens with the editable fields; Save when done.

Parking locations show up automatically when raising a booking for the client — see Creating a booking.
