Employees and sub-contractors
Add employees, invite workers to join, and manage your staff records.
Your staff live in two lists under the Staff group in the sidebar:
- Employees β the workers on your own books.
- Sub-Contractors β external workers you engage.
Both are the same kind of record (a worker), with a reference number, name, role, contact details and an active flag. Open a row to see the worker's Identity and Contact details in the side panel.

Adding an employee
On the Employees list, click Create New Employee and enter the person's name, email and phone. This doesn't just create a record β it onboards the worker: Bitmosys provisions their account and emails them an invitation.
You'll see the confirmation Onboarding email sent with a note that an invitation has been sent to their address.
- If the email is new to Bitmosys, the worker receives a welcome email with a secure link to set their password and finish setting up.
- If the worker already has a Bitmosys account β for example because they work for another agency β the same flow invites them to join your company from their existing account.
The confirmation is the same either way, so the screen never reveals whether the person was already registered. Once the worker accepts, they appear as active on your Employees list and can be booked and rostered.

What the invited worker sees
The worker gets an email from Bitmosys with a link to accept. A brand-new worker sets a password and lands in their own worker app; an existing worker simply confirms joining your company and can then switch to it from their account.
Sub-contractors
The Sub-Contractors list shows external workers with the same columns and detail panel as Employees. New sub-contractors join through the same invitation-based onboarding rather than being typed in directly, so there's no create button on this list β add the person as described above and set them up as a sub-contractor.
