Working with lists

The search, filter, column, selection, export, import and view controls shared by every list.

Most areas of the Admin Portal — Bookings, Timesheets, Expenses, Clients, Staff and more — open as a list: a table of records with a command bar above it. They all behave the same way, so once you know one you know them all. This page covers those shared controls; each area's own page adds only what's specific to it.

Type a term in the keyword box and press Enter (or click the search button) to search across the record's main fields. Clear it with the ×. Typing alone doesn't search until you commit it.

Column filters

Click a column header to filter by that column. Each filter offers operators suited to the column — contains, equals, date ranges, and so on — including Is blank / Is not blank to find records with a missing value. Filters combine, and the list updates to match.

Filters use the pattern the portal shares everywhere, so a filtered list is reproducible and can be exported exactly as shown.

Choosing and reordering columns

Where a list supports it, the Columns button opens a Toggle columns menu:

  • Tick or untick a column to show or hide it.
  • Drag a column by its grip — or move it with the arrow keys — to reorder it.
  • Your arrangement is remembered per list, so each area keeps the layout you set. Use Reset order to return to the default.

Selecting rows and exporting

Where enabled, tick the checkbox on each row (or the header checkbox to select the page) to select records. Lists with export offer Export CSV, which exports every matching row across all pages — not just the visible page — respecting your current search and filters.

Importing

Some lists offer Import from CSV or Excel in the command bar (Clients, Availability and Leave Requests today). The importer maps your spreadsheet's columns to the record's fields, tolerates common header aliases, and reports any rows it couldn't process so you can fix and re-import just those.

Overview strips

Some modules (Expenses, Adjustments, Invoicing) show a KPI strip above the list — headline figures such as amounts pending or outstanding, usually with a period selector (This month, Last month, This quarter, Year to date).

List and calendar views

A few lists (Availability, Leave Requests) add a List / Calendar toggle in the command bar. The calendar shows the same records as a Month, Fortnight or Week grid and shares the list's create form and detail panel.

Opening a record and refreshing

  • Click a row to open its detail panel on the right. Clicking a linked cell (such as a booking number or client name) opens that record's own page.
  • Fields you can't edit in the panel show as plain text with a thin underline, rather than an editable box — so you can tell at a glance what's yours to change.
  • Refresh reloads the current list.
