People
Balances, employee records, entitlement overrides, contract changes, and joiners and leavers.
People is where you see each employee's holiday entitlement, balance and history, and where you set up how they earn holiday, change their contract, and record them leaving. Open People from the sidebar, under Today. It opens as three tabs: Balances, New joiners and Leavers.

Balances
Above the table, four figures for the company: Employees on the books, Hours remaining across the leave year, Holiday liability, and TOIL owed.
The table itself:
Column | What it shows |

| Remaining | What's left, with a bar showing taken and booked against entitlement. Amber when flagged for untaken leave. |
| TOIL | Hours in the TOIL book, expiry-adjusted. A Winding down pill appears once TOIL's switched off for the company but this employee still has a balance left to use or expire. |
| Year end | How the leave year is ending for this employee, with a note. |
| Flags | Any advisory flags โ untaken leave, for example. |
Entitlement follows the leave policy unless a personal override is recorded on the employee.
The employee record
Click an employee's name to open their record. The header shows their holiday model, and, where they apply, tags for Leaving, Irregular hours or Part-year worker. Above the tabs, four figures: Entitlement (with an Override link), Taken, Booked ahead, and Remaining. Employees on rolled-up pay don't show this row โ there's no balance to hold, since holiday is paid with every payslip instead.

Overview
- Entitlement overrides ยท audit โ every override ever recorded, oldest to newest, with who made it and why. Only shown once an override exists.
- Accrual basis โ the accrual model, weekly hours (read-only here โ changing hours goes through a contract change) and hourly rate.
- How the entitlement is worked out โ the plain-English calculation behind the figure, different for rolled-up pay, hours-worked accrual, and fixed entitlement.
- Advisory โ whether this employee is flagged for untaken leave, on pace, or excluded from the flag (for example, because they're on rolled-up pay or leaving). The flag is advisory only โ it never blocks a booking or changes a balance.
- Leaving โ while no leaving date is recorded, a Record a leaving date button.
Overriding entitlement
Click Override (or Change the override) next to Entitlement to set a personal figure for this employee only, above the leave policy's own figure. Give the hours for this leave year and a reason โ both required. Nothing already recorded is edited; the difference posts forward as an adjustment in the current period, and the reason is stamped to the Workforce ledger.

Pay and contract
The current contract โ type, pay basis, hours and work pattern, start date, and end date if they've left โ plus any staged contract change waiting to take effect. Previous contracts lists earlier periods once there are any.
Click Change the contract to record a change:
- Contract type โ Full time, Part time, Term time, or Casual (which clears hours, pattern and salary โ casual has no contracted hours).
- Pay basis โ hourly rate or fixed salary, and the rate.
- Contracted hours a week and a work pattern (which days).
- Effective from โ a date you choose. The change takes effect on that date, never retrospectively; the old terms move to Previous contracts, and each period keeps earning at its own hours.

Personal terms
A short list of terms that can sit outside the company's leave policy for this one employee โ each has its own Edit, which asks for a reason before saving. Anything with a "Personal" badge is already overridden, with the reason shown underneath. Personal terms take effect from the date you save them, never retrospectively, and are stamped to the ledger.
Sickness

Leaver
Only shown once a leaving date is recorded. Shows the Final position โ last day, what happens to accrual, untaken holiday, and rate โ with Cancel the leaving date to keep the employee on the books if the leaving doesn't go ahead. Cancelling removes the staged settlement and accrual carries on as before.
New joiners
Employees who need a little more set up before they're on the books. The table flags what's still missing โ weekly hours, hourly rate, or a start date. Click a row to open the joiner panel, which shows what's already set up on its own and asks only for what's missing.
- Answer these opens a bulk form for every joiner missing an answer.
- Enrol n ready enrols everyone with nothing outstanding in one go.
- From the panel, Confirm and enrol enrols one joiner at a time, after filling in any missing figures and, for anyone who started earlier this leave year, the hours they've already taken as an opening balance.
Enrolling opens the balance books and posts the opening entries to the Workforce ledger. Nothing accrues until approved hours arrive; later detail changes come through as forward adjustments โ history is never edited.

Leavers
The same balance figures as the Balances tab, filtered to employees who've left, plus Leavers, Staged to settle and Settlement value at the top. See recording a leaving date above โ leaving freezes accrual and stages a settlement for the final pay run automatically.
